Request for Proposals - Satellite Events

The Alberta Prion Research Institute (Prion Institute) and PrioNet Canada are partnering to present Canada’s 4th annual prion research conference (and the world’s second largest prion conference!), PrPCANADA 2010, themed “On the Horizon”. The 2 ½ day conference includes renowned guest speakers, research presentations, workshops, panels, networking, and poster sessions. We anticipate over 300 attendees and 100 poster presentations. To facilitate knowledge exchange due to the critical mass of attendees at the conference host venue in Ottawa, PrioNet and the Prion Institute are supporting the costs of two large conference rooms to host satellite events following PrP CANADA, on Thursday, March 11, from 8:00 a.m. to 5:00 p.m. at the Westin Ottawa.
Satellite Event #1 – Governor General I - Capacity: maximum 100 in classroom; 200 in theatre
Satellite Event #2 – Governor General II - Capacity: maximum 75 in classroom; 200 theatre
To apply to host your Satellite Event in conjunction with PrPCANADA along with the support of PrioNet Canada and the Prion Institute towards meeting room costs, please submit your application as per the instructions below.* Application Instructions Please include the following elements to your application:
· Organizer(s) - Name(s), affiliations, and full contact information.
· Event Overview (no more than one page) – Include proposed title of event; a one paragraph write-up with justification/rationale for event topic related to PrPCANADA 2010; and a list of proposed speakers.
· Objectives – In five bullet points or less, please provide the main objectives of this event and the anticipated outcomes.
· Audience – List your intended audience (no more than a paragraph) and include estimated number of attendees.
· Partners – Other organizations or agencies that will help support the event (this is strongly encouraged) including contact names and affiliations.
· Draft Program – Attach as an Appendix.
The application should be no more than 5 pages (excluding the Draft Program - Appendix). This information must be submitted electronically (in Microsoft Word in English) by December 3, 2009, to shaney@prionetcanada.ca. Review and Notification The PrP CANADA 2010 Steering Committee will review submissions. Submissions will be evaluated on marketability of the event with PrP CANADA 2010 attendees as well as the commitment to objectives/outcomes. Successful applicants will be notified by December 11, 2009, whether they have been chosen and will be provided with the room details and hotel contact for your event.
Promotion PrPCANADA will promote the satellite events on the conference e-mail distribution list (800+ subscribers), the conference website (www.prionmeeting.ca) and mail-outs (when applicable).
* Please note: Only the venue is supported to successful Satellite Event applicants. All other costs such as food or audio-visual requirements are the responsibility of the Satellite Event Organizer(s) to coordinate and purchase. As supporters of your event, PrioNet and the Prion Institute must be acknowledged on all event materials (through the use of logos, etc.).
